Terms of Service

1. Acceptance of Terms

Welcome to MeetFika (“MeetFika,” “we,” “our,” or “us”). These Terms of Service (“Terms”) govern your access to and use of the MeetFika platform for structured check-ins, 1:1 management, and team health (the “Service”). By creating an account, joining a team, or otherwise using the Service, you agree to these Terms.

If you’re agreeing on behalf of a company, organization, or other legal entity, you’re confirming that you have the authority to bind that entity to these Terms. If you don’t agree, don’t use the Service.

2. Accounts & Eligibility

You must be at least 16 years old to use the Service. You’re responsible for keeping your account credentials confidential and for everything that happens under your account. Notify us promptly at support@meetfika.com if you suspect unauthorized access.

One person, one account. Sharing logins, running automated scrapers against the Service, or artificially inflating seat counts isn’t allowed.

3. Plans, Subscriptions & Billing

MeetFika uses two independent subscription axes:

  • User plans (tied to your individual account, travel with you across teams): Starter (free) and Member (paid, billed monthly).
  • Team plans (tied to a team, purchased by one person — the “Pro Subscriber”): Pro (paid, billed monthly).

Pro includes Member-tier personal features for the Pro Subscriber, so the same person never pays for both. Other people on a Pro team keep their own individual plan (Starter or Member) — Pro covers the team-level features, not personal upgrades for every teammate.

Prices are shown at checkout. Paid plans renew automatically each month until canceled. By providing a payment method, you authorize us and our payment processor (Stripe) to charge it on that recurring cadence. You can cancel anytime from the Stripe customer portal linked in your billing settings; cancellation takes effect at the end of the current billing period and you keep paid access until then.

Fees are non-refundable except where required by law. We may change pricing with at least 30 days’ notice — changes apply on your next renewal. Taxes are your responsibility except where we’re required to collect them.

Fair-use limits. Starter includes caps on ad-hoc check-ins, career goals, wins, personal tasks, direct reports, and history window. These caps are enforced in-product and exist to keep the Starter plan sustainable. Attempting to circumvent them — multiple accounts, scripted resets, etc. — is a breach of these Terms.

4. Your Content

The Service is built around content you create: check-in prep, talking points, follow-ups, sentiment scores, career and team goals, wins, starred moments, shared notes, manager-only notes, and annual reviews (“Your Content”). You keep all rights in Your Content.

You grant MeetFika a worldwide, non-exclusive, royalty-free license to host, store, transmit, back up, and display Your Content solely to operate and improve the Service for you and the people you’ve authorized to see it (your manager, your direct reports, your team’s admins). We don’t sell Your Content, don’t use it to train third-party models, and don’t mine it for advertising.

You’re responsible for the lawfulness of Your Content and for complying with your employer’s internal policies about what belongs in a 1:1 tool. Don’t upload content you don’t have the right to share.

5. Confidentiality Boundaries Inside the Service

MeetFika enforces specific confidentiality boundaries at the database level, not just in the UI:

  • The Manager Private Space (Coaching Notes, Constructive Feedback, Performance Notes, Development Plan) is visible only to the manager who wrote it. Direct reports cannot see it.
  • Employee Private Notes are visible only to the employee who wrote them. Managers cannot see them.
  • Sentiment scores and prep content you share with your manager are visible to your manager and, in rolled-up form, to people further up your reporting line who already see you on their org chart.
  • Annual reviews and feedback snapshots. A manager may include in-period positive and constructive feedback in a published review. Whatever feedback exists at the moment a review is published is what the direct report sees in that review — later edits to the source check-ins do not change the published version.
  • Support tickets and internal notes. When you open a ticket, replies from MeetFika staff appear in the same thread you see. Staff also leave internal notes attached to the ticket for triage and audit; those are never shown to you.

6. Acceptable Use

Don’t use the Service to:

  • Store or transmit health information regulated by HIPAA, payment card data, or government-issued identifiers. MeetFika is not a HIPAA-covered platform.
  • Harass, defame, or target anyone.
  • Reverse engineer the Service, probe for vulnerabilities outside a coordinated-disclosure channel, or interfere with its availability.
  • Scrape, crawl, or automate access to the Service without prior written permission.
  • Misrepresent your identity, your role, or your relationship to someone else on the platform.
  • Bypass moderator or anti-abuse controls — for example, creating multiple accounts to get around ad-hoc check-in caps, evading a temporary ban, or spinning up sockpuppet accounts to manipulate sentiment data.

7. Termination

You can cancel a paid subscription at any time from the Stripe customer portal. You can delete your account from your account settings; team admins can delete a team from the team admin surface. Account and team deletions enter a 45-day restorable windowfirst — the rows are soft-deleted and a MeetFika super-admin can restore them on request during that window. After 45 days, an automated job permanently purges them and the deletion is irreversible. See the Privacy Policy §7 for the full retention picture.

We may suspend or terminate your access if you materially breach these Terms, if your account puts the Service or other users at risk, or if we’re legally required to. Where reasonable, we’ll let you know first and give you a chance to fix the issue.

On termination, your license to use the Service ends. We may retain backups and audit-log entries for the periods described in our Privacy Policy. Sections that by nature should survive termination (Your Content license for backups, Acceptable Use violations, Disclaimers, Limitation of Liability, Indemnification, Governing Law) survive.

8. Disclaimers

The Service is provided on an “as is” and “as available” basis. We don’t warrant that the Service will be uninterrupted, error-free, or that any specific result will come from using it. MeetFika organizes check-ins and surfaces data — it doesn’t replace human judgment about hiring, firing, promotion, or compensation. You remain solely responsible for employment decisions you make.

9. Limitation of Liability

To the maximum extent permitted by law, MeetFika and its directors, employees, and affiliates will not be liable for any indirect, incidental, special, consequential, or punitive damages — including lost profits, lost data, lost goodwill, or substitute-service costs — arising from:

  • Your access to, use of, or inability to use the Service;
  • Any content posted by another user;
  • Unauthorized access to or alteration of your content.

Our total aggregate liability to you for any claim arising out of or relating to the Service will not exceed the amount you paid us in the 12 months before the event giving rise to the claim, or USD $100, whichever is greater.

10. Indemnification

You agree to defend and indemnify MeetFika against third-party claims arising from Your Content, your misuse of the Service, or your breach of these Terms. We’ll let you know promptly if a claim comes in and cooperate reasonably with the defense.

11. Changes to These Terms

We may update these Terms as the product evolves. When we make material changes, we’ll update the “Last Updated” date at the top and notify you by email or in-product notice before the changes take effect. Continuing to use the Service after that counts as acceptance.

12. Governing Law & Disputes

These Terms are governed by the laws of the State of California, United States, without regard to conflict-of-laws rules. Disputes arising from the Service will be resolved in the state or federal courts located in California, and you consent to personal jurisdiction there. Nothing here prevents either party from seeking injunctive relief in any court of competent jurisdiction for unauthorized use of intellectual property.

13. Miscellaneous

These Terms, together with the Privacy Policy and any order form or plan page you accept at checkout, are the entire agreement between you and MeetFika about the Service. If any part is unenforceable, the rest stays in effect. We may assign these Terms in connection with a merger, acquisition, or sale of assets; you may not assign them without our consent.
