Getting Started with MeetFika

Make the most of your check-ins with your manager and take ownership of your professional growth.

MeetFika is built so every check-in picks up where the last one left off. Your prep, your context, and your career goals carry forward — so each conversation is about what's actually happening, not what someone forgot since last time.

Setting Up Your Account

If your manager invited you

  1. 1Check your email for an invitation from MeetFika.
  2. 2Click the link to accept.
  3. 3Create your password and set up your profile.
  4. 4Complete onboarding — you'll land on your dashboard.

If you're setting up a new team

Understanding the Dashboard

  • Upcoming check-ins — your scheduled check-ins with your manager(s), sorted by date. Completed and cancelled check-ins move to History.
  • Prep for Check-in button — every upcoming check-in card has a green Prep for Check-in CTA. One click takes you straight to the prep form, so you don't need to open the check-in first.
  • Action Items widget — a quick summary of your outstanding follow-ups, showing total count, items assigned to you, and overdue items. Click it to open the full Action Items tracker. (Starter shows 3 rows; Member unlocks unlimited)
  • Personal Tasks widget — your own private to-do list, separate from team follow-ups. (Starter: up to 3 active; Member: unlimited)

Click any check-in card to open it, or use the Prep for Check-in button to jump directly into the prep form.

Need a check-in sooner? You can request an ad-hoc check-in with your manager at any time from the Dashboard. Starter users get 3 Direct Report-initiated ad-hoc check-ins total; Member unlocks 2 per month. These limits apply only to yourupstream requests — if your manager schedules an ad-hoc check-in with you, that's unlimited on every plan and doesn't count against your quota.
Keyboard shortcut: Press Ctrl+K (or Cmd+K on Mac) anywhere in MeetFika to open the Command Palette — a quick-launch menu for navigating to any page, starting a new check-in, or searching for people on your team.

Preparing for a Check-In

Preparation is the single most valuable thing you can do to make your check-in productive. MeetFika gives you a structured Prep form to fill out before each check-in.

Talking Points

Topics you want to discuss, each tagged with a priority. Topics auto-sort by priority so the most urgent items float to the top — you don't need to reorder manually.

Each topic also has an optional notes field — use it to add context, links, or a short draft of what you want to say so nothing gets lost between now and the check-in.

Status Updates

Share what you've been working on since the last check-in. Each item has a checkbox.

Blockers

A free-text field. List each blocker on its own line so your manager can quickly scan them.

"Waiting on approval from legal before I can finalize the vendor contract — submitted 3 days ago"

Sentiment Scores

Rate yourself on four dimensions, each on a 1-5 scale:

Be honest.These scores are tracked over time to spot trends. If you're consistently stressed or disengaged, MeetFika helps surface that so your manager can act on it.
  • Submit your prep before the check-in (ideally a few hours to a day ahead).
  • You can edit your prep after submitting it, up until the check-in is completed.
  • Prep is optional but strongly recommended.

During and After a Check-In

Your manager has a separate private section for their own notes. You cannot see this section — it's designed to give them space for candid coaching observations. This is a feature, not a limitation.

During the check-in

  • Walk through your talking points together.
  • Discuss blockers and agree on how to resolve them.
  • Add to the Shared Notes as you go.
  • Create Follow-Up action items.

After the check-in

  • Your manager marks the check-in as Completed.
  • The next check-in is automatically scheduled.
  • Revisit any completed check-in from History.

Sentiment — Why It Matters

Your sentiment scores are more than a checkbox — they form a trend line over time.

You

See your own trends on your sentiment dashboard, helping you reflect on patterns. Available on every plan, including Starter.

Your manager

Spots changes early — a stress spike or engagement drop signals a deeper conversation.

Team admins

See aggregated (not individual) health metrics to understand team-wide trends.

Not sure what each score means?The Prep form has a guidance popover next to the sentiment scale — tap it to see what each metric tracks and what a 1-vs-5 actually feels like. It's the same reference your manager sees, so the two of you are reading from the same scale.
Why honest reporting helps you:If you always rate everything as "fine," your manager has less information to advocate for you. Honest scores help your manager unblock you faster and create a documented record over time.

Your Sentiment Insights Card

When you submit a prep with sentiment scores, MeetFika produces a small insights cardon your dashboard that names what your numbers are saying — in your voice, about you. The same scores always produce the same reading, so you and your manager are working from the same picture.

What you'll see

Things like "Your stress has stayed high for three check-ins" or "Engagement is climbing back up after a dip last month." Each insight may include a short "Say:"prompt — a one-line opener you can use to raise it in your next check-in if you want.

Your manager sees the same patterns from a manager's framing on their side. Same data, two voices — so you can each prepare to talk about the same thing, without one of you being surprised.

Starred Goals & Starred Moments

Starring is how you flag the things worth keeping in front of you and your manager — before the check-in (starred goals) and during it (starred moments).

Starred Career Goals on Prep

On any career goal, hit the star to pin it. Pinned goals auto-prepend to your next prep form as a chip badged From career goal, so the conversation about your growth doesn't depend on you remembering to bring it up. Either of you can unstar it from the live check-in.

Starred Moments in the Live Check-In

During the check-in, either of you can star talking points, status updates, blockers, or follow-ups. They collect into a Starred for Review panel grouped by source, visible to both of you.

Starred moments persist into your annual review as candidate evidence — so the wins and conversations you flagged during the year are right there when your manager sits down to write the review.

Use stars sparingly. The point is signal, not coverage — if everything is starred, nothing is.

Follow-Ups & Action Items

Follow-ups are tasks created during a check-in that need to happen afterward.

  • Check off follow-ups as you complete them — it keeps the record accurate.
  • If a follow-up is blocked or needs reassigning, bring it up in your next check-in.
  • Incomplete follow-ups carry forward automatically — when your manager completes a check-in, any open items appear in your next one.
  • Your follow-up completion rate is visible to your manager and factors into reviews.
Follow-ups are attributed to their assignee. If your manager assigned a task to themselves (e.g., "I'll get you that resource"), it counts toward their completion rate, not yours.

Action Items Tracker

The Action Items page gives you a single view of all your outstanding follow-ups — without having to open each check-in individually.

  • Filter tabs — switch between All, My Items (assigned to you), and Delegated (assigned to your manager).
  • Complete from the tracker — check off items directly without opening the check-in.
  • Deduplication — if an item carries over across multiple check-ins, it appears only once.
Tier access: Starter shows your first 5 action items with the rest blurred. Upgrade to Member ($12/mo) to see every follow-up, every time. Your subscription is personal — it travels with you across orgs.

Viewing Your History

  • Completed check-ins listed in reverse chronological order.
  • Sentiment trends — visual charts showing how your scores have changed over time.
  • Follow-up completion rates — what percentage of your action items have been closed.

Use History to prepare for annual reviews, track your progress, and identify recurring blockers or patterns.

Employee Private Notes

My Notes is your private notebook, scoped per manager relationship. It's the employee-side counterpart to the Manager Private Space — only you can see what you write here. Your manager has no view into it, ever.

  • One note per manager relationship — if you have a primary and a dotted-line manager, you get a separate note for each, and they don't overlap.
  • Use it for things you want to remember to bring up but aren't ready to put on a prep yet — a half-formed concern, a draft of a difficult conversation, a list of small wins to mention later.
  • It auto-saves as you type. Nothing is shared until you copy it into a prep, talking point, or career goal.
Think of it as your scratch pad for the relationship. The same way your manager has a private space to think before they speak — you have one too.

Career Goals

  1. 1Navigate to Career Goals and click New Goal.
  2. 2Fill in a title, description, category (Technical, Leadership, Business, or Personal), and target date.
  3. 3Track progress (0-100%), add milestones, and update the status as you go.

Technical

Earn a project management certification

Steps: (1) Research PMP vs. CAPM, (2) Enroll in a prep course, (3) Complete practice exams, (4) Pass the exam

Leadership

Lead the department's new hire onboarding program

Steps: (1) Shadow the current lead, (2) Draft an updated checklist, (3) Get manager approval, (4) Run the next cohort independently

Target: June 15

Personal

Improve public speaking and presentation skills

Steps: (1) Join Toastmasters, (2) Present at two team meetings this quarter, (3) Track feedback after each

Target: December 31

  • Goals can be linked to your relationship with a specific manager.
  • Discuss goal progress during check-ins to stay aligned.
  • Goal progress is included in annual reviews.
On the Starter plan, you can have up to 2 active career goals (Not Started or In Progress). Completed or archived goals don't count. Upgrade to Member ($12/mo) for unlimited goals.

Annual Reviews

At review time, your manager creates a review that covers a defined period. MeetFika aggregates a year of check-in data into the raw material — sentiment trends, follow-ups, goals, starred moments, shared notes — so your manager has the full picture in front of them when they sit down to write:

  • Your status updates and accomplishments.
  • Sentiment trends and the patterns flagged across the period.
  • Follow-up completion rates.
  • Career goal progress.
  • Shared notes and starred moments from your check-ins.

  • View finalized reviews — once your manager marks a review as Final, it appears on your Reviews page.
  • You cannot see drafts — your manager works on drafts privately before sharing.
  • Use reviews for growth — treat the review as a roadmap, not a report card.
The more detailed your prep and status updates are throughout the year, the richer your review will be. Follow-ups are attributed to their assignee — items your manager assigned to themselves will not count against you.

Your Team Page

  • Your Manager(s) — your primary and any dotted-line managers.
  • Your Direct Reports — if you also manage people, they appear here.

This page is primarily for visibility. Your manager handles relationship changes (transfers, dotted-line assignments, etc.).

Account Settings

  • Update your profile — change your name or job title.
  • Change your password — update your login credentials.
  • Notification preferences — placeholder for a future release. Email reminders and weekly digests aren't sent yet; the settings will go live when the feature ships.

Plans: Starter & Member

Your MeetFika experience is shaped by your personal subscription. You start on Starter — everything you need to participate in check-ins, log blockers, and track your own sentiment trends. When you want to go deeper, upgrade to Member for $12/month and unlock unlimited personal features. Your Member subscription is yours — it works across every team you join.

What about Pro? Pro is a team-level subscription ($25/month) that your admin buys to unlock team features — unlimited direct reports, coaching notes, team sentiment trends, and full team history. Pro covers the admin who buys it at the personal level too, but it does not auto-upgrade employees. So if your team is on Pro and you still see limits on your own personal tasks, career goals, or history, that's expected — Member ($12/mo) is the upgrade that unlocks those for you individually.

To upgrade to Member, visit Settings > Billing. You can cancel any time from the Stripe customer portal.

Tips for Getting the Most Out of Your Check-Ins

Between check-ins

  • Treat your prep as a living document. As things come up during the week — a question, a win, a frustration — add it right away.
  • Check the Action Items page to track your outstanding follow-ups in one place.

Before the check-in

  • Give your manager time to read your prep — a few hours to a day ahead.
  • Prioritize ruthlessly. Mark the most important items as High.
  • Be specific about blockers — "I need help" is less actionable than "I need approval from finance, submitted 3 days ago."

During the check-in

  • Lead with your highest-priority item.
  • Take shared notes together — a mutual record you can both reference.
  • Create follow-ups with clear owners and deadlines.

After the check-in

  • Check off follow-ups as you complete them.
  • Update your career goals if anything discussed changes your plans.
  • Reflect on your sentiment honestly for the next check-in.

Over time

  • Look at your History periodically — patterns can reveal things you wouldn't notice day-to-day.
  • Keep career goals current. Archive completed or abandoned goals.
  • Use your check-in as your space. Bring the topics that matter to your growth and wellbeing.
  • Use Ctrl+K to quickly navigate anywhere in MeetFika.
